What data we collect

We collect only what we need to operate the Service:

  • Account data: email address and authentication identifiers.
  • Product data: cases you start, interview transcripts, scores, and generated feedback.
  • Billing data: subscription status and limited payment metadata (handled by our payment processor — we never store full card numbers).
  • Technical data: device, browser, IP address, and basic usage events needed for security and debugging.

How we use the data

We use your data to:

  • Provide your interviews, evaluations, and improvement plan.
  • Manage your account, subscription, and billing.
  • Improve product quality, fix bugs, and prevent abuse.
  • Communicate important account or service updates.

We do not sell your personal data to third parties.

AI processing

Casepilot.ai uses third-party AI providers to generate interviewer questions and evaluate your answers. To do this, your interview transcripts and the case context are sent to these providers strictly for the purpose of producing your response and feedback.

We choose providers that contractually commit not to use your content to train their foundation models. We never send your name, email, or billing details to AI providers along with your transcripts.

Data storage

Your data is stored on secure managed infrastructure provided by our backend platform. Data is encrypted in transit (TLS) and at rest. We retain your sessions and feedback for as long as your account is active so you can revisit your progress.

When you delete your account, your transcripts, scores, and feedback are permanently removed within 30 days, except where we are required to retain certain records (for example, billing history) by law.

Your rights (GDPR)

If you are in the European Economic Area, the United Kingdom, or another region with similar laws, you have the right to:

  • Access the personal data we hold about you.
  • Request correction of inaccurate data.
  • Request deletion of your data ("right to be forgotten").
  • Export your data in a portable format.
  • Object to or restrict certain processing.
  • Withdraw consent at any time, where processing is based on consent.

You can exercise most of these rights directly from your Profile page, or by contacting us using the details below.
